[TODO-ML] Guide — For Indian Sellers

[TODO-ML] When to Switch to an OMS: 6 Signs You've Outgrown Spreadsheets

[TODO-ML] Spreadsheets work fine up to a point. But growing Instagram and WhatsApp businesses hit a wall that a spreadsheet can't fix. Here are the six signs to watch for.

[TODO-ML] Most Instagram and WhatsApp sellers in India start with a Google Sheet or a WhatsApp group. That's the right call — early-stage businesses don't need overhead. The problem comes when orders grow but the system doesn't.

[TODO-ML] An Order Management System (OMS) isn't right for every seller. But if you recognise three or more of the six signs below, your spreadsheet has stopped being a tool and started being a bottleneck.

[TODO-ML] 6 signs you've outgrown your spreadsheet

1

[TODO-ML] Tracking orders takes more than an hour a day

[TODO-ML] If your morning routine is opening a spreadsheet, copying AWB numbers from courier emails, and manually updating delivery statuses — you've become your own shipping clerk. That hour belongs to sourcing, customer conversations, and growing your product line.

[TODO-ML] When manual tracking crosses the one-hour mark daily, that's the threshold.

2

[TODO-ML] Orders are getting missed or shipped twice

[TODO-ML] Scrolling through WhatsApp threads to find an order leads to missed entries. Manual copy-paste leads to duplicate shipments. This isn't carelessness — it's what happens when a manual system reaches its capacity.

[TODO-ML] A single missed order leaves a lasting impression on a customer. When this becomes a recurring pattern, it's time to act.

3

[TODO-ML] Returns have become a chaos of tabs and conversations

[TODO-ML] Logging a return in a spreadsheet, sending a manual update to the customer, arranging courier pickup, initiating a refund — all happening across different tabs and WhatsApp chats. When return volume grows, this process breaks.

[TODO-ML] An OMS handles returns alongside orders in the same workflow — not in a separate spreadsheet you have to remember to check.

4

[TODO-ML] Adding a team member feels impossible

[TODO-ML] When it was just you, a spreadsheet made sense. The moment two or three people are involved, questions multiply: who is handling which order? Who checked that payment? Version conflicts in shared sheets. Confusion in group chats.

[TODO-ML] An OMS gives each team member a role, logs every action, and gives everyone the same live view of what's happening.

5

[TODO-ML] Payment reconciliation is a weekly headache

[TODO-ML] UPI payments, COD reconciliation, advance deposits — spread across different places. Working out actual versus expected revenue at month-end takes hours. A payment arrived three weeks late — where was it? Which order did it belong to?

[TODO-ML] When payment tracking consumes two or more hours a week, you need a system that links payments to orders automatically.

6

[TODO-ML] Customer follow-ups are regularly falling through the cracks

[TODO-ML] Order shipped — did you notify the customer? Delivery confirmed — did you ask for feedback? Return received — did you confirm the resolution? When these happen manually, gaps are inevitable. Customers interpret silence as indifference.

[TODO-ML] Repeat customers are the backbone of a social-commerce business. Every missed follow-up is a customer you're handing to a competitor.

[TODO-ML] Excel vs OMS: when each makes sense

[TODO-ML] This isn't either-or. Spreadsheets are the right tool at the right stage:

[TODO-ML] What to look for in an OMS — specifically for Indian sellers

[TODO-ML] India's ecommerce ecosystem is different from the US or Europe: multiple courier integrations (Shiprocket, Delhivery, BlueDart, Ecom Express), a mix of UPI, COD, and advance payments, and orders coming from both Instagram DMs and WhatsApp. A generic international OMS won't cut it.

[TODO-ML] Look for:

  • [TODO-ML] Indian courier integrations — Shiprocket, Delhivery, Ecom Express
  • [TODO-ML] WhatsApp and Instagram orders in one dashboard
  • [TODO-ML] UPI and COD payment tracking
  • [TODO-ML] Returns management built into the order flow
  • [TODO-ML] Team collaboration — multiple users with roles
  • [TODO-ML] Pricing in INR with reasonable tiers for growing businesses

[TODO-ML] How to prepare for the switch

[TODO-ML] Adopting an OMS doesn't have to be disruptive. One week of preparation is enough:

  1. [TODO-ML] Export your current open orders, pending payments, and in-transit shipments
  2. [TODO-ML] Have courier API credentials ready — you'll need them for AWB generation
  3. [TODO-ML] Brief your team — a new workflow settles within two or three days
  4. [TODO-ML] Run parallel for one week — use both the OMS and your spreadsheet to catch anything you miss
  5. [TODO-ML] Reconcile payments first — clean historical data makes the transition much smoother

[TODO-ML] Not ready to switch yet? That's fine.
